A reference for venue access, power, loading, indoor and outdoor conditions, transport and other logistics that affect event production.
Loading Access
Confirm where production vehicles can unload, permitted loading times, vehicle restrictions and the route between the unloading point and event space.
Parking & Loading Bay
Parking fees, loading-bay bookings, permits, passes and venue handling procedures can affect logistics. Share these requirements before deployment where possible.
Service Lift
For venues above ground level, confirm service-lift availability, dimensions and weight restrictions. Large flight cases, LED panels, truss, stage components and speakers may not fit passenger lifts.
Power Supply
Event production requires suitable and stable electrical power. Larger audio, lighting, LED and effect systems may require dedicated circuits, distribution equipment or a generator rather than sharing general-purpose sockets.
Ceiling & Working Height
Ceiling height affects LED screens, truss, lighting positions, stage backdrops and some gimmicks. Low ceilings or decorative features may change the recommended production design.
Indoor Venue Requirements
Indoor planning considers access, acoustics, ceiling clearance, power, working space, guest layout and venue restrictions. Air-conditioning or other background noise can also influence audio planning.
Outdoor Venue Requirements
Outdoor events require suitable ground conditions, weather planning, safe electrical protection and protection for equipment. Wider spaces may also require different speaker coverage and screen-positioning strategies.
Weather Protection
Canopies, roof cover, waterproofing, ballast or other protection may be required depending on equipment and site conditions. Outdoor planning should include a realistic response to rain and wind.
Transportation & Outstation Logistics
Transport planning considers distance, equipment volume, vehicle type, tolls, loading conditions, crew travel and return schedule. Outstation projects may also require accommodation or extended crew deployment.
Venue Rules & Approvals
Hotels, convention centres, government facilities and other venues may have their own rules for loading, rigging, smoke, special effects, power and operating hours. Share relevant venue guidelines early so the production plan can be aligned.
