Understand the difference between setup, testing, soundcheck and rehearsal, and how venue access affects production readiness.
Same-Day Setup
Same-day setup is suitable when venue access, equipment quantity and technical complexity allow installation and testing to be completed comfortably before the required operating time.
Early Setup
An early setup window gives the production team more time for installation, cable management, system testing and coordination before guests arrive. The required setup duration varies by project.
One-Day-Earlier Setup
Complex productions or venues with restricted event-day access may require setup one day earlier. This can involve additional crew time, transport, venue access arrangements and overnight equipment considerations.
Rehearsal
Rehearsal is different from normal equipment testing. It allows organisers, performers, VIP movements, emcees and technical operators to practise programme sequences and cues. It is not automatically included unless stated in the quotation.
Soundcheck
A soundcheck verifies microphone levels, music playback, speaker coverage and performer monitoring where applicable. For performance events, relevant performers or programme representatives should be available when a meaningful soundcheck is required.
Technical Testing
Technical testing checks that equipment and signal paths operate correctly. Depending on the project, this can include audio, presentation playback, LED content, lighting cues, launching gimmicks and special effects.
Cue Testing
Cue testing is useful when several systems must happen together—for example music, lighting, video, hologram content, cold pyro and an emcee countdown. A clear cue sequence reduces uncertainty during the live moment.
Setup Access Time
Provide a realistic access window before the event. Loading distance, lifts, stage readiness, venue security, power availability and equipment quantity all affect how early a production team needs to enter.
Overnight Equipment
When equipment remains at a venue overnight, confirm that the event space can be secured and that venue access arrangements are clear for the next operating period.
Who Should Attend a Rehearsal
For cue-heavy events, the most useful rehearsal includes the organiser or show caller, emcee, relevant performers or VIP representatives and the technical operators responsible for each cue.
