A practical guide to the information and decisions that help shape an appropriate event production plan.
Start With the Event Objective
Begin with what the event needs to achieve: a meeting, conference, annual dinner, launch, ceremony, performance, wedding, outdoor programme or another format. The programme objective helps determine the appropriate technical system.
Event Date & Operating Hours
Provide the event date together with programme start and end times. Technical operating hours can be different from guest-facing programme hours because setup, testing, soundcheck and dismantling happen outside the main programme.
Audience Size
Estimated attendance helps determine coverage, screen visibility, microphone requirements, stage size and operating needs. Audience size should be considered together with venue shape and programme type.
Venue Information
Provide the venue name and event space when known. Useful details include room dimensions, ceiling height, stage dimensions, loading access, service lift, power availability, indoor or outdoor condition and venue restrictions.
Indoor vs Outdoor Event
Indoor systems are planned around room acoustics, ceiling height, power and controlled weather conditions. Outdoor systems additionally require consideration of wider sound dispersion, wind, rain, ground conditions, weather protection and suitable structures.
Choosing Required Services
Clients do not need to know every equipment model. Identify the outcome required—clear speech, music playback, stage performance, large-screen presentation, launching moment, ambience lighting or special effects—and CHROME can translate the requirement into a technical scope.
When a Site Visit Is Useful
A site visit may be useful when access is complicated, room dimensions are uncertain, acoustic conditions are challenging, large structures are planned, power information is unclear or several production systems must integrate in one venue.
Floor Plans, Photos & Technical Information
Floor plans and recent venue photos can improve planning before deployment. For larger productions, technical drawings, power information, loading rules, rigging information and venue production guidelines can be especially useful.
