Quick answers to common event-production questions and practical issues that clients may encounter before or during an event.
My Microphone Has No Sound
First allow the assigned audio operator to check the system. Common causes can include mute status, battery condition, channel selection, cable or signal routing. Avoid changing mixer controls unless requested by the operator.
The Presentation Does Not Display Correctly
Check the laptop output, display resolution, aspect ratio, adapters and playback source. If the presentation contains video, unusual fonts or embedded media, test the final file before the programme.
My Video Has No Audio
Video audio may depend on the laptop output setting, playback software and connection method. Test both picture and sound before the presentation begins.
The Programme Is Running Late
Inform the technical coordinator or relevant operator as soon as the delay becomes clear. This helps the team adjust cue timing and identify whether the confirmed operating period may be exceeded.
The Venue Changed Our Access Time
Share the new access time immediately. Reduced setup time can affect installation, testing, rehearsal and programme readiness, particularly for larger production scopes.
It Started Raining During an Outdoor Event
Follow the venue and production team's safety instructions. Outdoor electrical and production equipment may need to be protected, isolated or temporarily stopped depending on weather severity and site conditions.
Can I Add Equipment on Event Day?
Ask the project coordinator or relevant operator. Additional equipment is possible only when the required item, cables, power, transport and manpower are available and the change can be integrated into the existing setup.
Can I Change My LED Content at the Last Minute?
Minor file replacements may be possible, but every final file should be tested before going live. Changes involving new dimensions, animation, editing or rendering may require additional preparation time.
Is Rehearsal Included?
Rehearsal is included only when stated in the quotation. Normal equipment testing and a full programme rehearsal are different activities.
Does a Quotation Confirm My Booking?
No. A quotation presents the proposed scope and commercial terms. Booking confirmation follows the requirement stated in that quotation.
What Is a Soft-Lock?
Where offered, a soft-lock temporarily holds selected equipment and resources while the client completes approval or payment. It is not the same as a confirmed booking.
How Early Should Setup Start?
There is no single setup duration for every event. Equipment quantity, venue access, lifts, stage readiness, power, rehearsal and technical complexity determine the required setup window.
Do I Need a Site Visit?
Not every event requires one. A site visit becomes more useful when venue information is incomplete, access is complicated, acoustics are challenging or the production includes large or integrated systems.
Who Should Call a Launching Cue?
Use one clearly identified person—commonly a show caller, stage manager or organiser representative—to call the final cue to the relevant technical operator.
LED Screen or Projector?
LED is generally suitable for bright environments and scalable stage displays. Projectors can work well in controlled indoor lighting when throw distance and projection conditions are suitable.
Low Fog or Smoke Machine?
Low fog stays close to the floor and is commonly used for entrances or visual floor effects. A smoke machine produces atmospheric smoke that spreads through the air and is often used to enhance lighting.
Why Might an Outdoor PA Need More Coverage?
Outdoor sound has no room boundaries to contain it, and audiences may be spread over a wider area. Distance, wind, environmental noise and audience distribution can require different speaker placement or delay coverage.
